Rental Property Pilot runs the trust accounting, reconciliation, and field operations behind a property management business — built to sit next to OwnerRez, not replace it.
OwnerRez already does bookings and channel distribution better than a trust-accounting product ever should try to. Rental Property Pilot picks up the moment a booking becomes money — and everything a property manager does on the ground once a guest is in the door.
Every feature below posts to the same double-entry books — nothing is a spreadsheet on the side.
Every owner's funds post to their own trust-liability line — never commingled with company operating cash or another owner's balance. Full general ledger, chart of accounts, and posting-period controls behind it.
Connect a bank account via Plaid, or drop in a downloaded statement — it reads the ending balance and matches lines automatically against OwnerRez deposits and posted transactions, owner by owner.
A cancelled booking reverses its own revenue and receivable automatically and routes the actual money back out the door — a clean, GAAP-compliant reversal, not a manual journal entry or messy credit memo for every case.
Classes, tags, accounting periods, journal entry approvals, transaction numbering, and a complete audit log. The same books that run owner trust accounting handle the rest of the company too — no second accounting package required. Historical data can be imported from QB to start clean.
Credit card fees, Airbnb/Vrbo channel fees, and pre-payment or customer-deposit revenue recognition are handled correctly and automatically — filterable by date, channel, class, or tag, with commission handling and expenses following GAAP throughout.
A guest checkout auto-generates the cleaning job and, once it's signed off, the vendor bill. Routine maintenance runs on its own cadence — HVAC, quarterly, annual — with a mobile checklist for the crew in the field.
Track a prospect's property, activity log, and follow-ups the same way you manage an owner you already have — because it often becomes one.
Every booking, payment, and cancellation syncs from OwnerRez and posts to the correct accounts on its own — the accounting team reviews exceptions, not every transaction.
More PMS integrations — coming soonA straight answer on how it's built, for partner and platform evaluations.
AWS account and VPC already provisioned; standing up the first production instance next. The per-customer container model is designed to move onto it without a re-architecture.
This is a private beta with one active property management company. Here's what's genuinely still ahead, not glossed over.
Rental Property Pilot came out of running a real OwnerRez-based rental business and needing the accounting to actually hold up without workarounds — not a generic ledger with rental fields bolted on. We'd like to talk to a few more property managers, and continue working with OwnerRez's own team, about next steps. Built by an IT company with deep accounting knowledge that uses OwnerRez to manage its own portfolio of rental properties.
